Epicure picnic for private groups

Would you like to book a picnic for private group with us? You can find all the useful details below, however if we missed something, we are more than happy to answer all your questions.

Booking

Here is some information on how you can book your Epicure picnic. Please don’t hesitate to ask any question that we haven’t covered here.

  1. Minimum booking is for 20 people. We can cater for smaller groups but the price per head will increase exponentially.
  2. Please book through our email or call us – all the details are on our contact us page.
  3. Booking is confirmed once the 50% deposit is cleared to our bank account – we’ll send invoice for deposit as well as final invoice for remaining 50%.
  4. Final invoice will be send two days before the picnic with 7 day payment term.
  5. We take bookings up to one year ahead but we are able to do picnic next week as well. The more in advance you book, the better the result as we’ll have more time to prepare your experience.
  6. If someone would like to book the same date before you pay deposit, we’ll notify you – then the payment need to be done within 5 days to secure the date, otherwise the date might be free to book by other party.
  7. We are fully insured (public liability) and we have food safety license.
  8. You can choose from 3 different locations around Sydney – Northern Beaches area (around Dee Why), Centennial Park or Parramatta Park. We have experience with these places, and are able to make a booking to local council to secure the spot. We also have contingency venues around these areas where we can move in case of severe weather.
  9. We are able to arrange transport to the location – please let us know should you need this service and we’ll provide you with a quote.

day of picnic

Here is some information you might need at the D day.

  1. You do not need to bring anything to picnic – food and beverages will be served and seating with appropriate shading provided
  2. We are a non alcoholic picnic – please do not bring any alcoholic beverages, we can’t serve them as we won’t have RSA licensed staff on the spot. There will be, however, more than suitable substitutes
  3. Picnic is usually 4 hour long – welcome, activities, main meal served, dance or drumming session.
  4. All our food is vegetarian, please let us know in case of any allergies.
  5. Our wellness activities are designed to cater for wide range of people and should be easy to follow and do. However in case you or your team mates have any physical limitations, please let us know so we can provide a better experience and include all our customers.
  6. We are using amplified music. Some outdoor spaces are more stringent than others with noise levels. We’ll always ensure the volume is appropriate and won’t disturb either nature around us or other people in surrounding areas.
  7. We are using high capacity batteries to power our picnic – should you need to charge your phone or other device, please let us know, we will help the best we can.

cancellation policy

Please read our cancellation policy in any unfortunate event.

  1. Full refund available up to 2 weeks before the event.
  2. If the cancellation occurs in 2 weeks before the event, minimum of 30% of the deposit is non-refundable.
  3. We start to monitor the weather approx. 5 days before the event. If there’s a high chance of severe weather, we’ll work with you to either move the picnic inside (to one of our contingency venues), or to move the picnic to other available date. Please note the severe weather is not a reason to cancel the picnic as we are able to do a full scale experience indoors as well. In case the indoor venue will be used, we’ll change your booking and calculate new price if there are items that we can remove or/and we need to add.

Ticketed events policy

Here you can find further details about our ticketed events.

  1. Please buy tickets only via links on our channels – website and socials. We are using only Humanitix for all the ticket sales. 
  2. In case you need to refund your ticket, it’s possible up to 7 days before the event.
  3. We will send all our participants an email a few days before the event with information on what to expect and exact itinierary.
  4. Please don’t bring any food or alcohol. All our events are non-alcoholic (except at the Wolfie’s cafe). If you have any dietary requirements, please let us know as soon as possible after your ticket purchase.
  5. We have public liability insurance and food safety certificate.
  6. If any of our outdoor events can’t be held outside due to weather conditions, we’ll let you know 4 days before the event – we will either – reschedule to following week (same day), find suitable indoor space in close proximity of original outdoor spot or cancel the event and provide full refund if the event is not able to go ahead.
  7. Please try to be on time on all our events even though we provide a buffer 30 min window at the start of every event so people can come and settle down.
  8. If you have any concerns or questions during the event, please approach us with any questions. All our physical activities (yoga, pilates, etc.) are suitable for beginners, however please let our hosts know if you have certain physical limitations or we should be aware of anything.
